You need to add information to a PDF โ€” fill in a form that isn't interactive, add your name to a document, label a diagram, or insert a date before signing. PDFs are designed to be read-only, so adding text isn't as obvious as in Word. But it's completely possible for free using tools you may already have.

This guide covers every free method to add text to any PDF โ€” on Mac, Windows, iPhone, Android, and in any browser โ€” with step-by-step instructions and tips for making your added text look clean and professional.

Mac โ€” Preview App (Best Free Option)

Mac Preview lets you add text boxes to any PDF with full control over font, size, and color. No download needed โ€” Preview is on every Mac.

1

Open the PDF in Preview

Double-click the PDF to open it in Preview. If it opens in another app, right-click โ†’ Open With โ†’ Preview.

2

Open the Markup Toolbar

Click the pencil icon in the top-right of the toolbar (✎) or go to View โ†’ Show Markup Toolbar.

3

Click the Text Tool (T)

Click the T button in the markup toolbar. Your cursor changes to a crosshair. Click anywhere on the page to place a text box at that position.

4

Type Your Text

Type your text inside the text box. Use the format bar that appears to change the font, size, color, and alignment. Drag the text box handles to resize. Drag the box itself to reposition it anywhere on the page.

5

Save

Press Cmd+S to save the changes into the PDF. The text is embedded in the document and will appear to any viewer on any device.

✅ Match the Existing Font

In Preview, use the Format menu (Cmd+T) to open the font panel and match the font, size, and color of existing text in the document. This makes your added text look like it was always part of the original.

Windows โ€” Free Options

Google Chrome or Microsoft Edge (Form Fields Only)

Open your PDF by dragging it into Chrome or Edge. If the PDF has proper interactive form fields, click on them and type โ€” no additional tools needed. For flat PDFs without form fields, the browser viewer cannot add text boxes. You'll need LibreOffice or an online tool for those.

LibreOffice Draw (Full Text Box Support)

Right-click your PDF โ†’ Open With โ†’ LibreOffice Draw. Go to Insert โ†’ Text Box, then draw a box anywhere on the page and type your text. Full font and color control is available through the Format menu. Export as PDF when done: File โ†’ Export as PDF. LibreOffice is a free download (~300 MB) from libreoffice.org but works completely offline with no uploads.

Adobe Acrobat Reader (Form Fields Only)

The free Adobe Reader can fill interactive form fields but cannot add text boxes to flat PDFs. For flat PDFs, it will prompt you to upgrade to Acrobat Pro. Use LibreOffice instead for flat PDFs on Windows.

iPhone and Android

iPhone โ€” Files App Markup

Open the PDF in the Files app โ†’ tap the Share button โ†’ Markup. Tap the + button in the bottom-right โ†’ Text. A text box appears โ€” tap it to edit, drag to position, tap the Aa button to change font size and style. Tap Done when finished and save to Files. This works for any PDF and keeps everything local.

Android โ€” Adobe Acrobat App (Free) or Markup Apps

The free Adobe Acrobat Android app allows filling interactive form fields. For adding custom text boxes, the Xodo PDF app (free) is the best option โ€” it supports adding text annotations and text boxes to any PDF on Android. Open in Xodo โ†’ tap the annotation icon โ†’ select Text โ†’ tap to place a text box anywhere on the page.

Tips for Clean-Looking Added Text

Frequently Asked Questions

Can I add text to a PDF without Adobe Acrobat?
Yes โ€” Mac Preview, LibreOffice Draw, the iPhone Files app, and free online tools like iLovePDF and Smallpdf all let you add text boxes to any PDF without Adobe Acrobat. None of these require a paid subscription.
Why can't I type in the PDF form fields in my browser?
If form fields aren't clickable in your browser, the PDF may be "flat" โ€” created without interactive fields. In that case, add text boxes on top of the blank areas using Preview, LibreOffice, or an online editor. Alternatively, some forms are secured and locked โ€” if the owner locked editing, no free tool can bypass that protection.
Will my added text look different from the original text in the PDF?
It may look slightly different if you don't carefully match the font, size, and color. For most practical purposes โ€” filling a form, adding a date โ€” a close match is acceptable. For documents where appearance is critical (legal submissions, branded materials), use Preview on Mac for the most control over text styling.
Can I add text to a scanned PDF?
A scanned PDF is an image โ€” there's no text layer to work with. You can still add text boxes on top of the scanned image using any of the tools above. The added text will overlay the scanned background. If you need the scanned content itself to be editable, you first need to run OCR (try Adobe Scan free app or Google Drive's OCR feature) to convert the image to a text layer.
