Open the PDF in Preview
Double-click the PDF to open it in Preview. If it opens in another app, right-click โ Open With โ Preview.

Click the pencil icon in the top-right of the toolbar (✎) or go to View โ Show Markup Toolbar.

Click the T button in the markup toolbar. Your cursor changes to a crosshair. Click anywhere on the page to place a text box at that position.

Tips for Clean-Looking Added Text
- Match the font and size carefully. Most body text in professional PDFs uses fonts like Arial, Helvetica, Times New Roman, or Calibri at 10-12pt. Zoom in on existing text to estimate the size, then match it in your text box.
- Use the same black (#000000) or match the document color. Text that doesn't match the document's color scheme looks immediately out of place. Use the color picker to sample the existing text color.
- Align text boxes to the baseline of existing form lines. When filling in form lines, position the bottom of your text to sit just above the line, not floating in the middle of the space.
- Remove text box borders. In Mac Preview and most tools, new text boxes have a visible border by default. Set the border color to "None" or transparent so only the text itself is visible.
- Zoom to 100% or higher when placing text. Placing text at 50% zoom makes precise positioning much harder. Zoom to at least 100% to align text accurately with form fields and document lines.

Why can't I type in the PDF form fields in my browser?

Can I add text to a scanned PDF?
